1. CCS Introduction & Document Collection

The process begins with the CCS team introducing the veteran to the program, gathering initial documents, service records, medical history, and any supporting evidence needed to assess the case.
2. Intake Strategy Development
Once documents are collected, the Intake Department evaluates the veteran’s history and symptoms to create a customized claim strategy. This step determines what conditions should be claimed, what evidence is required, and how the case will be positioned for the highest chance of approval.
3. Strategy Approval (QA/QC)
Before moving forward, a Quality Assurance/Quality Control review ensures the strategy is accurate, complete, and aligned with VA requirements. Any corrections or improvements are made here.
4. Doctor Booking
If medical examinations or DBQs (Disability Benefits Questionnaires) are needed, the veteran is scheduled with a qualified doctor. These medical evaluations play a crucial role in strengthening the claim.
5. Packet Creation
Once medical documentation and evidence are ready, a complete claim packet is assembled. This includes statements, medical reports, service records, and all required forms.
6. Packet QA/QC Review
The packet undergoes another detailed QA/QC review to ensure accuracy, completeness, and compliance with VA standards before submission.
7. Shipment / Submission
After approval, the finalized packet is submitted to the VA. This step officially starts the review and decision timeline with the Department of Veterans Affairs.
8. Medical Liaison

(Post-Submission Support)

9. Accounting Review

The final stage involves the internal shipping team—made up entirely of veterans—closing out the case, packaging any required final documents, and ensuring the veteran receives everything they need.
Denials & New Rounds
If a claim is denied or requires additional evidence, the process loops back to Intake Strategy Development, where a new strategy is created for a supplemental claim or appeal. This ensures continuous support until the case is resolved.
